How we use your personal information.
Who we are
ShootDay is provided by 3rd Sector Tech, registered with the Information Commissioner’s Office under registration number ZC092818. Contact us at support@shootday.co.uk.
Your club and us
If you belong to a club that uses ShootDay, your club decides what to hold about you, and we hold it on their behalf. Questions about your membership record are best put to your club first. Your ShootDay account itself — your login, your name and phone number, and your ShootDay settings — is ours to answer for, and you can ask us about it directly.
What we hold
- Your name, email address and phone number.
- Your applications and memberships at each club: the type, what you paid and when, when it started and renews, its status, and how it ended if it has.
- The documents your club has checked, as a record of the check: the type of document, the certificate number, its expiry date, the club’s verdict, and who recorded it and when. The file itself is deleted the moment the club records its verdict. While a check is open, only you and that club can see it.
- What you book, whether you checked in and out and when, whether you were on a waiting list, and any guest you brought.
- Whether a payment was made and for how much. We never see your card details.
- Whether you have agreed to receive news, separately for each club and for ShootDay, and when you agreed.
- Whether your club has asked you to run the range for a session.
Why we use it
- To run your membership and bookings, as part of your agreement with your club.
- To help your club meet its responsibilities, including checking certificates and keeping a record of who was on the range and when.
- To take payments and keep the financial records the law requires.
- To email you about your application, your bookings, your renewal, documents about to expire, and a place that has come free on a waiting list. These are service messages, not marketing; they are sent whether or not you have agreed to news.
- To tell you, and only you, about news from ShootDay where you have asked for it. We do not send a club’s news on its behalf; a club that writes to its members does so from its own email, using the record of who agreed.
Who else sees it
Your club: its administrators, and a range officer for a session they are running, who sees who is booked on and checks people in. Other members never see your name — only that a lane is taken or how many places are left. And the companies that help us run the service, listed on our sub-processors page. We do not sell your information, and one club cannot see your membership of another.
Your club can take a copy of its own membership register, including your certificate details and whether you agreed to its news. Every such copy is recorded: who took it, when, and what it contained.
Where it is kept
In the United Kingdom. A small number of the services we use operate elsewhere with appropriate safeguards in place; they are named on the sub-processors page.
How long we keep it
- Your club’s record of you is kept while you are a member and for a period after your last membership there ends, which your club sets and states in its own privacy notice. After that your name, contact details and certificate numbers are removed from it; the dates, the type and the payments remain as a record without you in it.
- A certificate file is kept only while the club is checking it, then deleted.
- Your ShootDay account is kept while you use it. An account that has no membership, no open application, and has not been signed in to for eleven months is warned by email and closed a month later.
- Our backups hold deleted data for up to thirty days.
- If a club stops using ShootDay, its records are returned to it and then deleted.
Your rights and how to use them
- A copy of everything. Sign in, open Settings › Privacy and choose Download my data. You get one file with your account, every club’s record of you, your applications, memberships, payments, bookings and document checks.
- Correction. Your name and phone number are yours to change under Settings; a club can correct its own record of you from your page.
- Leaving a club. From that club’s Membership page. Your bookings there are cancelled and the club is told.
- Deletion. Close your ShootDay account under Settings › ShootDay Settings, once every membership is ended and no application is open. Your login and details are deleted straight away; each club keeps its own record for the period above.
- Consent. Switch news from any club, or from ShootDay, off or on under Settings › Privacy at any time.
- Objection and everything else. Ask your club about its record of you, or email us at support@shootday.co.uk.
If you are unhappy with how a request was handled you can complain to the Information Commissioner’s Office.
Guests
If a member brings you to a session as a guest, the club records your name and phone number and who brought you, as part of its record of who was on the range that day, and it may record a fee you paid. That record is the club’s and is kept with the session for the period the club sets. You do not need a ShootDay account, and nothing is sent to you.
Under 18s
You need to be 18 or over to hold a ShootDay account. The platform does not currently record members under 18.

We will update this page if how we use your information changes. The date it was last updated is shown alongside it.
